How Can I Use AI to Find Business Costs Worth Reviewing?
Use AI to organise expenses and identify review questions, then verify usage, commitments and delivery impact before cutting costs.
By Kareem Little
Your business pays for point-of-sale software, scheduling, delivery management, marketing and several subscriptions you barely remember starting. Cutting the whole bill sounds appealing, but some expenses support work customers rely on.
AI can help organise the review. It cannot determine from a payment description alone whether a service is unnecessary.
Use it to create a shortlist of questions, then verify the answers with your records and the people doing the work.
Begin with a useful expense list
Prepare a permitted copy of your expenses with supplier, amount, frequency, category and a short description of the purpose. Include the period covered and currency.
Annual renewals and irregular spending can disappear from view if you inspect only one month's transactions. Choose a period that captures the commitments you want to assess.
Remove account numbers and unrelated personal information where they are unnecessary. Confirm that the selected AI service is appropriate for the remaining business information.
A clean input makes the exercise easier to check.
Ask for patterns and questions
You might request a table of recurring payments, possible overlaps, unclear descriptions and items requiring manual confirmation.
Ask the tool to explain why it flagged each entry. “Two suppliers appear to provide scheduling” is a review question, not evidence that one should be cancelled.
Separate confirmed facts from assumptions. A familiar vendor name may cover several services, and a payment description may not reveal who uses the account.
Avoid asking the tool to label expenses as waste based solely on the amounts.
Investigate one possible overlap
Imagine a salon paying $30 monthly for a standalone booking tool. Its existing point-of-sale package already includes appointment scheduling.
Before cancelling, check whether the included feature supports the required workflow. It may lack reminders, calendar connections or a booking arrangement the team uses.
Also check existing links, stored data and contract terms. Replacing a tool can require migration and staff time even when the new subscription charge is zero.
The potential saving becomes credible only after you establish that the replacement is adequate and the old expense can actually end.
Connect the cost to customer delivery
An expense can be small yet essential, or large yet poorly justified. Ask which activity and customer promise depend on it.
A quality-review service may prevent costly mistakes. An unused marketing subscription may contribute little. The right action could be to cancel, consolidate, downgrade, renegotiate or improve how the existing tool is used.
Include the impact on turnaround, reliability and capacity. A lower software bill is not necessarily an improvement if it adds hours of manual work or weakens an important service.
Calculate savings after transition costs
Suppose cancelling a tool removes a $40 monthly charge. That is $480 a year before replacement expenses and transition work.
If migration requires six hours valued at $30 an hour for planning, the one-time transition effort is $180. Assuming no replacement costs and immediate cancellation, the first-year net benefit on those assumptions is $300.
This is an illustrative comparison, not an accounting treatment or guaranteed result. If an annual commitment prevents cancellation until renewal, the timing changes.
Record those assumptions so the apparent saving does not become an inflated claim.
Prioritise the changes
Create a shortlist showing the potential saving, evidence required, implementation effort and delivery risk. Start with an item that is unused, easy to verify and straightforward to remove.
Assign someone to confirm the change and check the next bill. A decision to cancel does not produce savings until the payment actually stops and the work remains covered.
Keep a record of any service or data you need to retain before closing an account.
Review one expense today
Select a recurring payment and answer three questions: who uses it, what would happen without it and when can its cost change?
Use AI to organise the investigation, then make the decision from verified information.
