Can AI Analyse My Sales Spreadsheet and Explain What Is Changing?
Prepare a sales spreadsheet for AI-assisted analysis, ask focused questions and verify calculations before acting on the findings.
By Kareem Little
Your spreadsheet contains months of sales, but understanding it feels like another job. You want to know which services are growing, which customers return and why revenue dipped last month.
AI may help organise the questions and explain calculations, provided the chosen tool supports the task and you verify its work.
Start with a focused comparison and a clean copy of the data. A confident narrative is not enough to establish what changed or why.
Define what the columns mean
Before analysis, identify the date, service, amount, status and any other field relevant to the question. Explain whether an amount represents an invoice, a completed sale or money actually received.
Those distinctions matter. Counting unpaid invoices as cash collected can produce a misleading picture of the business.
Check for inconsistent date formats, duplicate entries, mixed currencies and refunds recorded separately from original sales. Define the period and the records included.
AI can help flag issues, but your business must determine the correct meaning of the records.
Start with a question you can verify
A useful first request might be: “Compare monthly invoiced revenue by service for the last six complete months. Exclude cancelled invoices, show the totals and explain the calculation.”
That is more testable than “Tell me everything about my business.” It also states what the analysis does not measure: cash received, profit or the reasons behind customer behaviour.
Ask for formulas or reproducible calculation steps where possible. A tool that can execute calculations may offer a more checkable path than an unsupported answer, but the code and inputs still need review.
Check the answer against the source
Imagine a pet-supply shop’s analysis says pet-food revenue increased from $4,000 to $5,000. The increase is $1,000, or 25% relative to the earlier $4,000.
Verify those totals using a spreadsheet formula or pivot table. Check that the comparison uses the same definitions and complete periods.
If the tool instead compares a full month with the first ten days of another, the story can be misleading even when each sum is correct.
Pick a few rows and confirm that they entered the intended categories. Small classification mistakes can distort a service comparison.
Separate an observation from an explanation
The data might show fewer purchases from returning customers. It may not explain why those customers did not return.
Price changes, seasonality, delayed invoicing and changes in recordkeeping could all affect the pattern. Treat possible explanations as questions to investigate, not established causes.
Ask what additional information would distinguish them. You might review campaign dates, service changes or customer feedback.
This keeps the analysis useful without allowing a plausible story to become an unsupported business conclusion.
Remember that sales are not profit
A service generating the most revenue may also require the most delivery time or external spending. To assess profitability, you need relevant cost information and consistent definitions.
Do not ask AI to estimate missing costs and then treat the result as your actual margin. Keep assumptions separate from recorded figures.
Likewise, a chart of sales does not establish whether a new shelf position, price or promotion caused an improvement. Use the findings to choose a more focused investigation.
Protect the information you share
Customer names and contact details may be unnecessary for an aggregate service comparison. Use a permitted, reduced dataset and confirm that the tool and account are appropriate.
Store the checked analysis with its date range, definitions and calculation method. That makes next month's comparison more reliable and helps another person understand the result.
Analyse one question today
Choose one six-month comparison, calculate it manually or with spreadsheet formulas and ask AI to help explain the checked result. Note anything that remains uncertain.
